Have your welcome text message ready. It contains your username (the name you use to sign in) and your password.

Read or send email

The easiest way is to open your email on a website. This is called webmail. It works on a computer, phone or tablet.

Outlook not working?

If Outlook offers “Exchange / Microsoft 365”, use the IMAP setup instructions instead. Or use the webmail button in step 1 below — nothing to install or buy.

  1. Open your email website

  2. Type your username and password

    On the page that opens, enter your username from the welcome text. Then enter your password.

    Use the password from your welcome text. If you have changed it, use your new password.

    It asks for a domain or a different username.

    Try CRFM\ followed by your username, with no spaces. For example, CRFM\yourname. Replace yourname with your own username.

  3. Select “Sign in”

    You should see your inbox: a list of your emails. If you are asked to choose a time zone, choose London and save.

You’ll know it worked when you can see your inbox.
How do I send an email?
  1. Select New or New message.
  2. In To, type the person’s email address.
  3. In Subject, type a short title for your email.
  4. Write your message in the large box.
  5. Select Send.

Your message will be sent from your CRFM email address.

How do I read or reply to an email?
  1. Select an email in your inbox to open it.
  2. To reply, select Reply.
  3. Write your message, then select Send.
How do I sign out when I’m finished?

Select your name or profile picture near the top of webmail, then choose Sign out. Always do this on a shared computer.

Outlook shows Exchange / Microsoft 365 — how do I use IMAP?

CRFM email is hosted on our own server. For this setup, choose IMAP instead of Exchange / Microsoft 365. IMAP lets Outlook receive your email; a separate setting called SMTP sends it.

  1. Add your CRFM email account

    In Outlook, choose Add account and enter your full CRFM email address, such as yourname@yourcrfm.co.uk. Replace yourname with your own username.

    If Outlook offers Exchange / Microsoft 365, look for Advanced setup, Manual setup or an option to choose a different account type. Choose IMAP.

    The wording varies between Outlook versions. If you cannot find IMAP, use webmail and ask IT for help.

  2. Enter the incoming settings

    Incoming means receiving email. Type these details in the incoming or IMAP server boxes:

    Incoming server
    mail.yourcrfm.co.uk
    Security / encryption
    SSL/TLS (sometimes called SSL)
    Port
    993

    Choose SSL/TLS first, then check the port says 993.

  3. Enter the outgoing settings

    Outgoing means sending email. Type these details in the outgoing or SMTP server boxes:

    Outgoing server
    mail.yourcrfm.co.uk
    Security / encryption
    STARTTLS
    Port
    587

    Choose STARTTLS first, then check the port says 587. The server name is the same for incoming and outgoing email.

  4. Enter your password and finish

    Use your current CRFM password. If there is a separate outgoing password box, use the same password there too. If asked to sign in to the outgoing server, keep that option turned on.

    Select Next, Connect or Done, depending on what Outlook shows. Wait for your inbox to load.

    Send a short test email to someone and ask them to reply. This checks both sending and receiving.

This setup is for email. IMAP does not sync your Exchange calendar or contacts. You can still use webmail whenever you need it.

If Outlook rejects your sign-in details or cannot connect, ask IT for help. You can read and send email in webmail while it is being sorted.

Can I use an email app instead?

Yes, but it may need extra setup. Webmail is the easiest option.

The new Outlook for Windows is different from classic Outlook. CRFM uses its own email server rather than Microsoft 365. Some app versions can connect, but IT needs to check your setup.

I want to add email to a phone app instead

Choose your phone below. You will need your username and password from your welcome text.

In the examples, replace yourname with your own username. For example, if your username is alex, your email is alex@yourcrfm.co.uk.

Set up Apple Mail

  1. Add an account in Settings

    Go to Settings → Apps → Mail → Mail Accounts → Add Account. On older iOS versions, look under Settings → Mail → Accounts.

  2. Choose Microsoft Exchange

    Enter yourname@yourcrfm.co.uk, add “CRFM” as the description and tap Next.

  3. Configure manually

    Choose Configure Manually, enter your current password, then use the server, domain and username in the “Details to type in” box below.

  4. Finish setting up your email

    Tap Next, choose Mail and any available calendars or contacts you need, then tap Save. Open Mail to check your inbox.

Can’t connect? App access depends on CRFM’s Exchange settings. Don’t disable connection security or guess IMAP/SMTP settings. Use webmail while IT helps you.

Use an office computer

Use the same username and password at CRFM East or CRFM West.

  1. Wake up the screen

    Move the mouse or press a key on the keyboard. You should see a sign-in screen.

  2. Type your username

    Use the username from your welcome text. Enter the name only — you do not need to add CRFM\.

  3. Type your password and sign in

    Use the password from your welcome text. If you have changed it, use your new password.

    If you are asked to choose a new password, follow the instructions on screen. Use that new password next time.

Your work desktop should appear.
How do I open Outlook on the office computer?
  1. Open the Outlook app provided on your work desktop.
  2. If your email address is shown, select Next.
  3. If asked for an account type, select Exchange.
  4. Wait for your inbox to open.

If you see a Microsoft 365 sign-in or your email is not shown, use webmail and ask IT for help.

Use my work desktop from home

This opens your CRFM work desktop on your own computer.

Download for Windows
  1. Download the CRFM app

    Wait for the download to finish. Open your Downloads folder and double-click CRFMCloudDesktop-Setup.exe. Follow the instructions in the setup window.

    When setup finishes, open the Start menu, type CRFM Cloud Desktop and select the app. If Windows blocks the installer or asks for an administrator password you do not have, ask IT for help.

  2. Type your username and password

    The app already includes CRFM\. Enter just yourname and your current password.

  3. Connect to your desktop

    Select Connect. If access is unavailable, contact IT to check your remote access permissions.

    Next time, open CRFM Cloud Desktop from the Start menu. You do not need to download it again.

I have an Apple Mac

First, choose the right download

  1. Select the Apple menu in the top-left corner of your screen.
  2. Select About This Mac.
  3. Look for Chip or Processor and match it to a download below.

Apple M-series Mac

Choose this if Chip says Apple M1, M2, M3, M4 or another Apple M-series chip. This includes Pro, Max and Ultra versions.

Then install and open the app

  1. Open your download

    Open Finder (the smiling face icon), then select Downloads.

    M-series Mac: double-click CRFMCloudDesktop-macOS-arm64.dmg.

    Intel Mac: double-click CRFMCloudDesktop-macOS-x64.zip to unpack it. Then double-click CRFMCloudDesktop-macOS-x64.dmg that appears beside it. If your browser has already unpacked the ZIP, just open the DMG file.

    A window containing CRFM Cloud Desktop should open.

  2. Copy the app to Applications

    Drag CRFM Cloud Desktop into your Applications folder. If the download window has no Applications shortcut, open another Finder window and select Applications in its sidebar, then drag the app there. Wait for it to finish copying.

  3. Open CRFM Cloud Desktop

    In Finder, select Applications and double-click CRFM Cloud Desktop.

    If your Mac blocks the app, says it cannot verify the developer, or says the app is damaged, ask IT for help.

  4. Sign in and connect

    Enter your CRFM username and current CRFM password. If CRFM\ is already shown, do not type it again. Select Connect to Cloud Desktop. Your work desktop should appear.

    Next time, open the app from Applications. You do not need to open the downloaded file again.

Find my work files

Use the MyFiles website to open CRFM’s shared folders. These are also called the M: drive.

  1. Open the files website
    Open my work files

    Opens in a new tab. Keep this guide open so you can follow the steps.

  2. Type your username and password

    Enter your username from the welcome text. Enter your password, then select the sign-in button.

    Use the password from your welcome text. If you have changed it, use your new password.

  3. Open the folder you need

    Select a folder to see what is inside. You can open or download the files you have access to.

A folder or file is missing.

Ask IT to check which folders you can access. Tell them the name of the folder or file you need.

Can I add files here too?

Yes, if you have permission to upload to that folder. Open the folder first, then look for the + or Upload option and choose the file on your device. Ask IT if the upload option is missing.

My password doesn’t work or I haven’t received a text.

Check that you’re using your username from the welcome text and your current password. Capital and small letters must match. If you changed your temporary password, use the new one on every device. Contact IT if your details are missing or you need a new password.

Outlook says my account doesn’t exist.

You may be on Microsoft’s sign-in page instead of CRFM’s own Exchange service. Open CRFM webmail and sign in there. For an email app, follow the app guidance or ask IT. Don’t create a new Microsoft account for your CRFM mailbox.

I can’t connect to remote desktop.

Check your internet connection. In the Windows connector, enter only your username because CRFM\ is already included. On Mac, open CRFM Cloud Desktop from Applications and enter your CRFM username and current password. If CRFM\ is already shown, do not type it again. If it still fails, send IT the error message so they can check your access.

I’m missing emails, files or folders.

Ask IT to check your permissions. Include the name of the mailbox or folder and which service you’re using. If webmail works but an app doesn’t, mention the device and app name too.
